2023-2024 Federal Work Study Supervisor Checklist
Your student employee’s compensation may be made of wholly or in part by Federal Work
Study funds. To ensure compliance with the associated federal requirements we are asking
supervisors to acknowledge some of these conditions before the student start working. For the
most part the federal requirements align with tradition on campus student employment.

Timesheets
Submitting Time in the Self-Service Secure Portal
You must maintain adequate time sheets or records of hours worked for FWS students. These time sheets
must show, separately for each day worked, the hours a student worked, and the total hours worked
during the job’s payment cycle (i.e.., twice a month, every week, every two weeks, etc., but not less than
once a month). These amounts and hours recorded must match the hours for which the student is paid.
Federal Work Study (FWS) records are used to compile the data submitted by schools on the Fiscal Operations Report section of the FISAP. Therefore, a school must maintain those original FWS records for as long as it is required to maintain its FISAP data.
Supervisor Responsibilities
Listed below are your responsibilities as a supervisor of federal work-study employee. Please check the boxes as you read, confirm, and acknowledge the following information.
Establish a weekly schedule for each hourly employee.
Schedules can be adjusted each week based on department needs.
Pay weeks run from Sunday to Saturday. All hourly employees should have an established weekly schedule of 20 hours or less for each pay week. Working during scheduled class time is prohibited.
Federal Work-Study student employees are not permitted to work over 20 hours in a pay week. Working consistently over 20 hours per week would qualify them for benefits as full-time employees. The FWS program is designed for part-time employment.
Student employees should be instructed that overtime is only permitted when directed in advance by their supervisor and only after the Financial Aid Office verifies that there will be no negative impact to aid eligibility. Although there is no prohibition on paying overtime in the FWS program, FWS is a program designed to provide part-time employment, and students should not often work in excess of 40 hours in a single week. Overtime and payment for overtime hours may not be used in a way that would create an over award in the student's financial aid package.
Supervisors are responsible for ensuring employee hours are monitored and reported accurately.
Supervisors must review and approve all time reported by Noon (12 p.m.) on the 1st and 16th of each month. If hours submitted by an employee are not correct, supervisors should make necessary adjustments before the Noon (12p.m.) deadline on the 1st and 16th.
Any hours not reported in Self-Service by the approval deadline must be submitted to Human Resources.
